Automatic renewal — please read
Your subscription continues automatically until you cancel. After your first month, it renews every month at the rate shown at signup and your payment method is charged automatically on the renewal date.
You may cancel at any time by sending one email — no phone call and no retention agent. Write to walletta@cashiercrew.com from the address on the account. Cancellation takes effect at the end of the current billing period and there is no cancellation fee.
We will email you before each renewal with the amount, the date and a direct cancellation link.
1. Who we are and what this is
Cashier Crew is operated by Walletta, Inc., a Delaware corporation. By reserving a terminal, creating an account or using the service, you agree to these terms on behalf of your business.
How the agreement is formed. These terms are a published offer. You accept them by ticking the acceptance box at checkout and paying the setup fee; the timestamp of that acceptance is recorded by our payment processor and a link to this page is included on your receipt. That exchange is the contract, and no separate signature is required for it to bind either of us. At installation we add a short schedule covering the details of your site — address, number of screens, menu, go-live date. It is published in full alongside these terms. The schedule records what is being installed where; it does not alter the terms on this page, and where the two ever conflict, this page governs.
2. The $200 setup fee
- The $200 is a setup fee. It pays for the on-site installation of your terminal and for building your menu into it — every item, price, modifier and photo, entered and verified by us before you go live.
- It is fully refundable at any time before installation, for any reason or none.
- It holds your installation slot.
- Once the installation is performed the fee is earned and is not credited against your subscription, because it has paid for the installation work itself. Apart from the equipment price, if you buy the equipment, nothing else is billed to you until your terminal is live.
- Sales tax. Where your state charges sales tax on this fee, it is calculated at checkout and added to the $200. The $200 we quote is the fee itself, before any tax your state applies — the total you are asked to approve is always shown before you pay.
- The $200 is the same whatever hardware you choose, and the same however many terminals you run at that address — one visit, one menu build.
- One reservation per trading address. Each address receives its own installation slot, its own menu build and its own terminals, so each address requires its own $200 reservation. A merchant operating several locations pays the setup fee for every location at checkout; installations are then scheduled location by location.
- When the equipment is charged. If you purchase equipment, its price is charged at checkout together with the setup fee, and is refundable in full at any time before installation. If you lease, nothing is charged for the equipment at checkout or installation; it is billed at $99 per terminal per month from installation.
2A. AI cashier trial
- Each address receives fourteen free days of the AI video employee in every twelve-month period. They begin when you switch it on, at any time, including where you did not choose it at checkout. No AI-minute charge is billed for those days.
- After the fourteen days, active AI-minutes are billed at the rates in section 3. You may switch the AI video employee off at any time, from the owner screen on your terminal or by email to walletta@cashiercrew.com; no AI-minute charge arises while it is off.
- The free days cover AI-minutes only: the setup fee and the subscription are billed as set out in sections 2 and 3.
3. Pricing
| Item | Rate |
|---|---|
| Self-checkout subscription, hardware purchased | $99 per month, per screen |
| Self-checkout subscription, on an iPad you provide | $99 per month, per screen. The device must be a model we support. |
| Self-checkout subscription, hardware leased | $99 per month, per screen, plus $99 per month for each leased terminal — $198 in total |
| AI video employee | $0.25 per active AI-minute. $0 while idle. The first fourteen days are free (section 2A). |
| AI video employee with partner advertising enabled, once partner advertising is offered | $0.15 per active AI-minute |
| Hardware, purchased outright | iPad Pro 12.9″ (M2, refurbished by Best Buy’s Geek Squad) $699 per terminal; iPad Pro 13″ (M4, Apple Certified Refurbished) $1,169 per terminal; iPad Pro 13″ (M5, new) $1,499 per terminal; counter stand $349; card reader $69; kitchen iPad $379 per location; kitchen stand $99 per location; plus the $200 setup fee. Equipment we supply is genuine Apple hardware, new, open-box, Apple Certified Refurbished or refurbished by Best Buy’s Geek Squad, tested by us before installation — the equipment is charged at checkout and is refundable in full until installation. Sales and use tax is added at the rate applicable to your jurisdiction and shown on the invoice, as are California’s electronic waste recycling fee on each screen and battery recycling fee on each card reader, where they apply. |
| Hardware, leased | $200 setup fee at signing, then the equipment is included in the $198 monthly rate. The leased bundle is an iPad Pro 13″ (M4 or newer), a locking counter stand and a card reader per terminal, and a kitchen iPad with its stand per location, with accidental-damage and theft cover (section 8.3). |
An active AI-minute is a minute during which the AI is engaged with a customer. Idle time is not billed. Active minutes are metered and itemised on every invoice.
4. Automatic renewal and cancellation
4.1 How renewal works
Subscriptions are monthly and renew automatically on the same day each month until cancelled. The charge is your subscription rate of $99 per screen, plus $99 per leased terminal if you lease your equipment, plus any active AI-minutes used in the prior period. There is no minimum term and no lock-in.
4.2 Consent
You agree to these automatic renewal terms when you complete signup, where they are presented to you before payment. We will send you an acknowledgement by email containing the terms, the renewal date, the amount and how to cancel.
4.3 How to cancel
One email ends it. No phone call, no retention agent, no cancellation form buried in an account area:
- Email walletta@cashiercrew.com from the address on the account. We confirm in writing within one business day.
Cancellation takes effect at the end of the current billing period. You keep access until then. We do not charge a cancellation fee.
4.4 Reminders
We email a renewal notice before each charge, including the amount, the date and the address to write to in order to cancel.
5. Ninety-day money-back guarantee
No questions asked. Within ninety days of your Go-Live Date you may end the service for any reason, or none, and claim this guarantee. We do not ask you to prove that the terminal saved you money and we do not ask you to justify the decision.
Your Go-Live Date is the date the first customer order is completed on your terminal in normal trading. We confirm it to you in writing when it happens.
5.1 What comes back
- Every base subscription charge you have paid, in full.
- The $200 setup fee, in full.
- The price of all purchased equipment, in full, once the equipment is returned. We pay the return shipping.
- Sales tax and recycling fees charged on any amount refunded above.
5.2 What does not come back
- Active AI-minute usage charges are not refunded. Those minutes were consumed serving your customers and the cost of providing them has been incurred. This is the one exclusion, and it is stated here rather than in small print.
- Card processing fees charged by your payment processor, which are its charges and not ours.
5.3 Returning the equipment
- Tell us within the ninety days. You then have fourteen days to ship the equipment back, on a prepaid label we send you. Original packaging is not required.
- Normal wear from ordinary counter use is expected and does not reduce your refund. Scuffs, marks and worn cabling are normal wear.
- If the equipment failed, that is not your problem. Hardware that is faulty, defective or dead on arrival is refunded in full on return — we will never refuse a refund because the item you are returning is broken in the way that made you want to return it.
- Deliberate damage, liquid damage, fire, theft or loss are not covered by this guarantee. Where the equipment is missing or destroyed we refund the subscription and setup fee but not the equipment price.
- We inspect within five business days of receipt and refund to the original payment method within ten business days of inspection.
Leased equipment is returned on the same timetable, nothing further is billed, and no equipment price arises because you never paid one.
This guarantee is available once per merchant.
6. What the AI does, and what it must not do
6.1 Active AI minutes
An active AI minute is a minute during which the AI is engaged with a customer at your terminal. A metering session begins when the AI starts responding to a customer and ends when the order is completed, handed to your staff, or abandoned. Idle time is not billed. Usage is metered per terminal, itemised on every invoice, and visible in your dashboard. Usage is rounded to the nearest six-second increment, and each customer conversation carries a thirty-second minimum. This mirrors the basis on which our own video provider bills us, so that what you are charged tracks what the service costs to run. A counter serving many very short interactions will therefore see the thirty-second minimum applied often, which is worth knowing before you read your first invoice. You have sixty days from an invoice to query metered usage on it, and we will show you the session records behind any line you ask about.
Active AI minutes are billed at the published rate of $0.25 per active minute. This is a usage rate, not a fixed subscription charge. We may change the usage rate on the notice set out in section 14; the rate applies at the same published level to every merchant.
6.2 Allergens, ingredients and dietary information
- The AI answers questions about your items only from the menu, ingredient and allergen data you supply. It does not infer, estimate or guess allergen content.
- You are responsible for the accuracy and currency of that data, including when a recipe, supplier or preparation method changes.
- We do not represent that any item is free from any allergen, and we make no representation about cross-contamination in your kitchen, which we cannot observe.
- Where a customer raises an allergy, intolerance or medical dietary question, the terminal is configured to direct that customer to a member of your staff rather than to answer it alone.
- You must keep a member of staff available to answer such questions during trading hours.
6.3 Age-restricted items
The terminal does not perform legal age verification. Where an order includes an age-restricted item, the terminal escalates to your staff, and verification remains your responsibility under applicable law. You must not configure the Service to complete a regulated sale without the verification the law requires.
6.4 A human alternative must remain available
You must keep a way for a customer to order from a person, during all hours the terminal is available. That path must be available for customers who need assistance, for allergy and age-restricted questions, and whenever the terminal or the network is unavailable. Cashier Crew supplements your counter; it does not discharge any legal obligation you have to staff it.
6.5 Accuracy, and what we do not warrant
The Service uses AI models supplied by third parties. It is designed to capture modifiers and answer from your data accurately, and it will sometimes be wrong. We do not warrant that the Service will be error-free, that every order will be captured correctly, or that you will achieve any particular saving, upsell rate, revenue or result. Figures published on our website describing savings, upsell uplift or turnover are illustrative and depend on your menu, prices, volume and location.
6.6 Menu photography and generated images
Where the Service generates or retouches an image of one of your items, you must review and approve that image before it is shown to customers, and the image must fairly represent the item you actually sell. We do not publish generated food imagery to your terminal without your approval. You remain responsible for the accuracy of every product representation shown on your terminal.
6.7 Network and processor outages
Where offline ordering is enabled, the terminal queues orders when the connection drops. Card authorisation depends on your payment processor and the network, and may not complete while either is unavailable — a payment may need to be retaken once service is restored. We are not liable for outages of third-party networks, processors or AI providers, beyond our obligations in section 13.
7. Payments
Card payments at your terminal are processed by your own payment processor, not by us. The first processor we integrate is Square; further processors are added as we certify them, and the one named in your schedule is the one that applies to you. You contract with that processor directly for card acceptance and you remain the merchant of record for every sale made at your counter. Walletta is not the merchant of record, does not acquire your card transactions, and does not hold your takings at any point.
We may later offer card processing of our own. If we do, it will be offered as an alternative you may accept or decline. It will never be made a condition of the subscription, of the hardware, or of any rate you were given before it existed, and any rate we quote for it will be quoted at that time — nothing on our website is a promise of a particular processing rate.
Where these terms name Square below, read it as the processor named in your schedule.
What follows from that:
- Square underwrites your account, sets your processing rates, and decides whether to accept your business. Those are Square's decisions, made under Square's own terms, and we cannot make them for you or overturn them.
- Card data is handled by Square and by the card reader, and is tokenised. Card numbers are not transmitted to or stored by Walletta systems.
- Settlement to your bank account is performed by Square on Square's timetable and is not instantaneous. Authorisation at the terminal and settlement to your account are two different events, and nothing on our website should be read as promising same-moment settlement.
- Chargebacks, refunds to customers, disputes and any reserve requirement are between you and Square, under your agreement with Square. We will give you the order and session records we hold to help you answer a dispute.
- A Square outage will stop card payment at your terminal, and we have no ability to process around it.
Where our materials say that card payments are handled to the PCI-DSS standard, that refers to Square's compliance as the processor, not to a certification held by Walletta.
7.1 When each amount is charged
The order of events, so that nothing arrives unexpectedly:
- Reservation. The $200 setup fee for each location, and the equipment price if you buy the equipment, are charged at checkout. Your payment method is saved so that your subscription can be billed from installation. Nothing else is charged at this point.
- Installation. Nothing is charged at installation. If you purchased the equipment, its price, applicable sales tax and recycling fees were charged at checkout; if you lease, the lease is billed with your subscription.
- Go-Live. Your first base subscription period begins on the day your terminal is installed, not on the date you reserved. No subscription charge arises while you are waiting for an install slot.
- First invoice. Issued one month after Go-Live, covering the base subscription, any leased-equipment charge, and the active AI minutes used in the period.
- Thereafter. Monthly on the same date, as set out in section 4.
If we cannot install. If we are unable to install your terminal, for any reason, we refund the $200 setup fee in full and nothing further is owed by either of us. If you cancel after equipment has been purchased for you but before installation, we refund the equipment price and the setup fee in full. If you ask to postpone an installation, we reschedule it and nothing is charged for the delay.
8. Hardware
8.1 What the kit is
Each counter runs on an iPad as the customer-facing terminal: one you provide, or an iPad Pro we supply. With it comes the equipment you choose at checkout: a counter stand and a card reader per terminal, and a kitchen iPad with its stand per location, plus cabling. A leased bundle always includes all of them. All tablets we supply are genuine Apple hardware, new, open-box, Apple Certified Refurbished or refurbished by Best Buy’s Geek Squad, configured by us before delivery.
8.2 Purchased equipment
- Title passes to you on installation; the price was paid at checkout. Risk of loss passes on installation at your premises, not on shipment — until the terminal is standing on your counter, transit risk is ours.
- Tablets sold new or Apple Certified Refurbished carry Apple's one-year limited warranty from the date of purchase, on Apple's own published terms: Apple One (1) Year Limited Warranty. The iPad Pro 12.9″ (M2) carries Geek Squad’s 90-day warranty instead. Either warranty covers defects in materials and workmanship in normal use. Neither covers accidental damage, liquid damage or ordinary battery wear.
- If a tablet fails under its warranty, we handle it. You tell us, we arrange the replacement, and you are not left making the claim yourself or waiting without a working counter. Dead-on-arrival equipment is replaced by us at our cost.
- If the equipment is damaged, dropped, submerged, stolen or lost, that is not a warranty matter and the replacement is at your cost. Accidental-damage cover may be available directly from Apple for eligible devices, and we will point you at it; we do not resell it.
- Stands, cabling and the card reader carry their manufacturers' warranties on the same basis.
8.3 Leased equipment
- The equipment remains the property of Walletta, Inc. You have a right to use it at the address it was installed at, for as long as your subscription is active, and no other right in it.
- You may not sell it, pledge it, sub-lease it, or modify it, and you may not move it to a different trading address without telling us first so we can re-provision it.
- We repair or replace leased equipment that fails in normal use, at our cost, including after its warranty has ended. That is what the monthly equipment charge is for.
- Accidental damage and theft are covered. If leased equipment is dropped, cracked, spilled on or stolen from your premises, we repair or replace it. You pay a $99 excess per incident. For a theft, report it to the police and send us the report number within seven days.
- Deliberate damage, and equipment that is not returned, are yours. In those cases the replacement value is the then-current equipment price for that item.
- Normal wear is expected and is never charged for.
- On termination, return the equipment within fourteen days, in working order allowing for normal wear, on a prepaid label we provide. If it is not returned within thirty days we may invoice the replacement value.
- Hardware improvements. Because leased equipment stays ours, we replace it as our standard configuration changes — at our discretion and at our cost, with no charge to you. We do not commit to a fixed upgrade date or to any particular future model, and nothing on our website should be read as promising one.
9. Your responsibilities as a merchant
These matter, because the terminal speaks to your customers.
- Let customers know the terminal is automated. The terminal itself discloses this on screen before every ordering session; you agree not to disable or obscure that disclosure.
- Keep your menu, prices and allergen information accurate. You are responsible for what the terminal sells on your behalf.
- Provide staff who can take over an order when a customer asks for a person.
- Comply with the law that applies to your business, including age-restricted sales.
10. Acceptable use
Do not attempt to reverse engineer, resell or sublicense the service, interfere with its operation, or use it to break the law. We may suspend an account that does.
11. Data
Your merchant data is yours. You can export or delete it at any time. How we handle personal information is described in our Privacy Policy, which forms part of these terms.
12. Service availability
We aim for continuous availability but do not guarantee it. Where offline ordering is enabled on your terminal, orders are queued during a network outage and sent when the connection returns. Your staff can take over at any moment.
13. Disclaimers and limitation of liability
Except as expressly stated, the service is provided as is. To the fullest extent permitted by law, Walletta's total liability arising from these terms is limited to the fees you paid in the twelve months before the event giving rise to the claim. Neither party is liable for indirect or consequential loss. Nothing here limits liability that cannot lawfully be limited.
14. Changes to these terms
We may update these terms. Material changes are announced to merchants by email at least thirty days in advance, and price changes never apply to a billing period already paid for.
15. Governing law
These terms are governed by the laws of the State of California, without regard to conflict of law rules. The courts of California have jurisdiction.
